This Privacy Policy explains how GapProofs (“GapProofs,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you use our websites, mobile applications, software, and related services (collectively, the “Services”). It also describes the choices and rights available to you.

1. Information We Collect

Information you provide

  • Account and contact information: such as your name, email address, phone number, company name, job title, login credentials, and account preferences.
  • Roofing project and claim information: such as property and project details, measurements, estimates, scopes, line items, notes, invoices, supplement information, completion information, and related records.
  • User content: such as photographs, videos, documents, reports, signatures, communications, and other materials you upload, create, or submit through the Services.
  • Payment and subscription information: such as plan, billing status, and transaction details. Payment-card information may be processed directly by our payment provider and may not be stored by GapProofs.
  • Communications: such as support requests, survey responses, feedback, and waitlist or marketing preferences.

Information collected automatically

  • Device and usage information: including IP address, browser and device type, operating system, app version, identifiers, referring pages, pages or features used, timestamps, crash data, and diagnostic logs.
  • Location information: approximate location inferred from IP address and, if you enable device permissions, precise location used for location-aware field documentation. You can control precise-location access through your device settings.
  • Cookies and similar technologies: used to maintain sessions, remember preferences, protect the Services, understand usage, and improve performance.

If you provide information about customers, property owners, employees, subcontractors, or other people, you represent that you have the authority and any required notices or consents to provide that information to us.

2. How We Use Information

We use information to:

  • provide, operate, maintain, secure, and improve the Services;
  • create and manage accounts, subscriptions, estimates, reports, documents, and project workflows;
  • process transactions and send service-related notices;
  • respond to support requests and communicate with you;
  • personalize features and understand how the Services are used;
  • detect, investigate, and prevent fraud, abuse, security incidents, and violations of our Terms;
  • comply with law, enforce agreements, and protect rights and safety; and
  • send product updates or marketing communications where permitted. You may unsubscribe from marketing emails at any time.

3. How We Share Information

We may disclose information in the following circumstances:

  • Service providers: vendors that support hosting, cloud storage, email delivery, authentication, analytics, customer support, payment processing, security, and other business operations. They may process information only to perform services for us under appropriate obligations.
  • Your organization and authorized users: account owners, administrators, team members, and other people you direct us to share with, based on account permissions.
  • Legal and safety reasons: when reasonably necessary to comply with law or legal process, enforce our agreements, respond to lawful requests, or protect rights, property, or safety.
  • Business transactions: in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale of assets, subject to applicable law.
  • With your direction or consent: when you connect a third-party service, export content, or otherwise ask us to share information.

We do not sell personal information for money. We do not use personal information for cross-context behavioral advertising or share it with data brokers.

4. Data Retention

We retain information for as long as reasonably necessary to provide the Services, maintain business and legal records, resolve disputes, enforce agreements, and meet security, fraud-prevention, tax, accounting, and regulatory obligations. Retention periods depend on the type of information, how it is used, your account settings, and applicable law. When information is no longer needed, we take reasonable steps to delete or de-identify it. Backup copies may remain for a limited period before being overwritten.

5. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. However, no storage or transmission system is completely secure, and we cannot guarantee absolute security. You are responsible for protecting your account credentials and promptly notifying us of suspected unauthorized access.

6. International Processing

GapProofs and its service providers may process information in the United States and other countries where privacy laws may differ from those in your location. Where required, we use appropriate safeguards for international transfers.

7. Your Privacy Choices and Account Deletion

Depending on your location, you may have the right to request access to, correction of, deletion of, or a copy of your personal information, or to object to or restrict certain processing. You may also withdraw consent where processing relies on consent. We may need to verify your identity before completing a request, and certain information may be retained where permitted or required by law.

Account deletion: You may use any deletion controls available in the app or email [email protected] with the subject “GapProofs account deletion request.” Include the email address associated with your account and your company name. We will verify the request and delete or de-identify the account and associated personal information, except information we must retain for legal, security, fraud-prevention, or legitimate business-record purposes.

Marketing: Follow the unsubscribe link in a marketing email or contact us. You may still receive necessary transactional or service communications.

Device permissions: You can manage camera, photo-library, and location access in your device settings. Some features may not function without required permissions.

8. Children’s Privacy

The Services are intended for business users and are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can take appropriate action.

9. Third-Party Services

The Services may link to or integrate with third-party websites, platforms, or services. Their privacy practices are governed by their own policies, and GapProofs is not responsible for those practices.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the revised policy with a new “last updated” date and provide additional notice where required. Your continued use of the Services after the effective date means the updated policy applies to your use.
